Definition of Personal Information

“Personal Information,” as used in this Policy, means information about an individual that can identify the specific individual by name, date of birth, or other description or that contains a personal identification code. Some of the information we collect about you may not identify you in isolation. Still, if it can be used in combination with other information to identify you, it will be treated as "Personal Information" to the extent that it is used in combination with such information.

Compliance with Laws and Regulations

ColorLink Japan, Ltd. (“CLJ”) will comply with the obligations stipulated in the Act on the Protection of Personal Information and other laws and regulations concerning the protection of personal information, guidelines published by the Personal Information Protection Commission and other competent authorities, as well as this policy when handling personal information.

Use within the Scope of the Purpose of Use

CLJ will handle Personal Information only to the extent necessary to achieve the purpose(s) of use specified in advance and will take measures to achieve such purpose(s), except when CLJ has obtained the prior consent of the individual concerned or when permitted by law.

Acquisition of Personal Information

When acquiring Personal Information, CLJ will endeavor to obtain the consent of the person to whom the information pertains by clearly indicating in advance the items of Personal Information to be handled, the purpose for which the information will be used, the contact person for inquiries, and other necessary information. If the Personal Information includes sensitive details such as race, creed, or other information requiring special consideration, CLJ will obtain the individual's consent before acquiring it, except in cases permitted by law. When acquiring Personal Information from a third party, if there is a legal obligation to verify and record the information upon receiving it, CLJ will comply with such obligation.

Security Control Measures

CLJ will endeavor to keep Personal Information accurate, complete, and up-to-date within the scope of the purposes of use and will take necessary and appropriate security control measures in line with current technical standards to prevent unauthorized access, leakage, alteration, loss, or damage. CLJ will adjust and improve these measures as necessary.

Supervision of Contractors

CLJ may entrust the handling of Personal Information to its parent company or a third party to the extent necessary to achieve the purpose of use. In such cases, appropriate safety control measures will be taken under CLJ's information security policy. Additionally, with respect to outsourcing to third parties, CLJ will ensure that appropriate safety control measures are taken through contracts and other means regarding the handling of Personal Information.

Provision to Third Parties

CLJ will not provide Personal Information to third parties without the consent of the individual, except as permitted by law. When CLJ provides Personal Information to a third party and is legally obligated to create a record of such provision, CLJ will comply with such obligation.

Responding to Inquiries

CLJ will respond appropriately to inquiries regarding the disclosure, correction, discontinuation of use (e.g., introduction of products and services), deletion, or other handling of Personal Information, in accordance with the provisions of the law. CLJ will strive to continuously strengthen and improve its internal systems, including reviewing this policy, by appointing a person responsible for the management of Personal Information, establishing internal rules, educating officers and employees, and conducting appropriate internal audits, to ensure that Personal Information is handled appropriately.
